But booking a villa for a large group is different from booking a hotel. Capacity isn’t just beds — it’s bathrooms, dining seating, pool size, staff, and whether the property actually allows events. What counts as a “large group”

The 5 things to check before booking
1. Bed capacity vs sleeping capacity
A “12-guest villa” doesn’t always mean 12 beds. Some villas count extra mattresses, sofa beds, or children on shared beds. If everyone needs a proper bed, confirm bedroom count matches guest count.
2. Bathroom-to-guest ratio

3. Pool size and depth
Small plunge pools are fine for 4 guests, uncomfortable for 10. For large groups, look for pools at least 30 feet long with a surrounding deck for lounging.
4. Event policy
Not every villa allows parties, loud music, or outside vendors. If your booking involves a DJ, decorator, or catering team, confirm the villa’s event policy in writing before paying.
5. Staff numbers
A 4-BHK villa might have 3 staff. A 6-BHK might have 6. For groups of 10+, you want at least 1 staff member per 4 guests — for cooking, cleaning, and general support.

How catering works for large groups
Most luxury villas include a chef, but the details matter:
- Breakfast — Almost always included. Usually eggs, parathas, fruit, tea/coffee.
- Lunch & dinner — Usually add-on. Menu agreed in advance. Regional Indian or continental options.
- Provisions — Billed at cost, on top of chef fee. Typical ₹1,500–₹2,500 per guest per day.
- Alcohol — Not provided by villa. Bring your own, or concierge arranges.
- Outside caterers — Most villas don’t allow. Confirm before booking if you have a specific caterer in mind.
For a 10-guest celebration over 3 nights, budget ₹60,000–₹1,00,000 for food and provisions. The chef handles all cooking and cleanup — your group never has to think about meals. This is a huge advantage over a hotel, where a group of 12 would need to book multiple tables at multiple restaurants for every meal. At a villa, the entire group sits down together, every time.
Event setup: what’s allowed and what isn’t
Not every villa allows every event. Before you plan a DJ, decorator, or outside vendors, confirm the following:
Music and loud sound. Most villas allow music, but with limits: no loud sound after 10pm, or no professional sound systems at all. Goa has strict noise regulations in residential areas — including Assagao, Anjuna, and Vagator. If your celebration needs a DJ until 2am, you’ll need a villa that explicitly allows late-night sound, or an event venue with a proper license.
Outside vendors. This is the most commonly denied request. Villas have relationships with their own chefs, decorators, and staff — they often won’t allow third-party vendors. If you have a specific decorator or caterer in mind, ask at booking whether they’ll be permitted. Some villas allow them with a vendor fee (typically 10–20% of the vendor’s bill).
Event footfall. If your group is 12 but you’re hosting a celebration for 30 (with day guests), you need to declare the full headcount. Villas have occupancy limits and parking limits — exceeding them can lead to a shutdown of the event on the night.
Decorations. Temporary decorations (balloons, flowers, LED lights) are usually fine. Permanent fixtures (nails in walls, hanging from ceilings, pyrotechnics) are usually not. Confirm what’s allowed before you plan elaborate setups.
Fireworks and open flames. Almost universally banned. Firecrackers, sky lanterns, and open-flame installations are prohibited in most Goa villas — both for safety and noise reasons. Candles at a dinner table are usually fine; candles floating on the pool are usually not.
The safest approach: tell your concierge exactly what you’re planning — vendor names, timings, headcount — and let them confirm what’s allowed at your villa. They’ll also know which villas are more flexible than others.
How to split a villa across multiple families
Booking a villa for 10+ guests often means multiple families or friend groups splitting the cost. Here’s how to make it fair without complicated spreadsheets:
Option 1: Split by room. Each family pays for their bedrooms. A couple sharing a king room pays for one “share”; a family of four in a two-bed suite pays for two. This is the fairest method when room sizes vary.
Option 2: Split by head. Total cost ÷ total guests. Simplest, but a bit unfair to couples sharing a room, or families with small children.
Option 3: Split by adult head. Children under 12 count as half, under 5 free. Works well for family reunions with mixed ages.
